Refund & Cancellation Policy
Amicotech Web Design Studio
Effective date: 28 October 2026
This policy explains how to cancel an Amicotech website order or monthly service and request a refund. It applies to purchases made directly from Amicotech. Your quotation and checkout show the services and prices you are buying. This policy does not limit any rights you have under applicable South African law.
1. Contact us to cancel or request a refund
Email info@amicotech.co.za with your name, order number or website address, the service concerned and what you would like us to do. For help, call +27 71 689 6145. Cancellation requests must be recorded in writing; we can help you put a telephone request in writing.
We aim to acknowledge your request within two business days. Your request takes effect from when we receive it, rather than when we finish processing it. Reasonable verification of the account holder may be required. Never email card details, passwords or identity documents with a routine cancellation request.
2. Website setup and design cancellations
Before work starts: if you cancel before we begin work or incur any costs you have authorised, we will refund the website setup fee in full.
After work starts: contact us as soon as possible so we can stop further work and avoid further costs. Where the law permits a deduction, any amount retained will be reasonable, relate to work actually performed or unavoidable third-party costs you authorised, and be explained in an itemised statement. We will refund the unused balance. We do not apply an automatic forfeiture of the entire setup fee.
After approval or launch: a change of mind does not normally entitle you to a refund for completed, agreed work. You can still cancel future monthly services. Approval or launch does not remove your rights if our work is defective, incomplete or materially different from what was agreed.
Free sales previews do not create a paid subscription. Purchasing from an accepted preview uses the agreed design as the starting point, with the final scope and any additional work confirmed through the order and briefing process.
3. Online purchases and cooling-off rights
Where section 44 of the Electronic Communications and Transactions Act applies, an eligible consumer may cancel an online service agreement within seven days of concluding it, without giving a reason or paying a penalty. Payments covered by that right will be refunded in full within 30 days of cancellation.
The Act provides exceptions, including services that begin with your consent before that seven-day period ends. If you want us to start immediately, we will ask for your express consent before starting. Starting work early may affect the statutory cooling-off right, but does not remove your other consumer rights or create an automatic right for us to retain the full payment. A personalised website is not, by itself, a reason to ignore the legal rules for services.
4. Monthly hosting and website care
The current standard offer is a once-off R999 website setup payment and R299 per month for the care package described at checkout. Unless a separately accepted quotation states otherwise, the first monthly payment is due one calendar month after the successful setup payment, then monthly. It is not collected with the setup fee. This timing is based on payment, not the eventual launch date, so a launch delay does not automatically postpone it. The checkout must disclose this before you authorise recurring payments.
The payment provider may adjust later monthly collection dates around short months; your subscription confirmation records the actual schedule. Promotional or future prices must be shown and agreed before purchase. This policy does not change an existing customer's recorded billing agreement.
Cancel at any time: email us before your next scheduled renewal. There is no separate cancellation fee for the standard month-to-month care package. We will stop future renewals and confirm the end of service. Unless you request earlier closure, service continues until the end of the period already paid for. A payment taken for a renewal after we received your valid cancellation request will be refunded.
Amounts for a monthly period already supplied are not normally refunded solely because you change your mind during that period. Refunds or credits for unused prepaid periods, billing mistakes, service failures or a statutory cancellation right will be assessed fairly under the applicable law. We will not use this clause to withhold a legally required refund.
5. Domain names and other third-party costs
Domain registration or renewal may incur registry charges once submitted successfully. We will explain any third-party cost we propose to retain and will only retain a lawful, actual, unrecoverable cost that you authorised. This is not a blanket exclusion of statutory refund rights. If a domain registration fails, we will offer the available alternative or refund the amount attributable to the unsuccessful registration.
Cancelling website care does not automatically transfer or delete your domain. Contact us to arrange any transfer, DNS changes, mailbox export or website handover before hosting ends. We will explain the available handover and any separately requested migration work in advance. Domain renewals and separately purchased services follow their disclosed terms; we will not make an unapproved purchase.
6. Problems with the service
Please tell us if work is defective, incomplete or does not match the agreed scope. We will investigate and explain the proposed remedy and timing. Where the Consumer Protection Act applies, your remedies include having a service defect corrected or receiving a reasonable refund reflecting the extent of the failure. We do not make attempting a repair a condition that removes a statutory refund remedy.
If we cannot fulfil an order, we will notify you and refund payments for the services we cannot provide. An unauthorised or duplicate charge will be investigated promptly and refunded where confirmed. You retain your rights to contact your bank, payment provider or an appropriate consumer dispute-resolution body.
7. How refunds are paid
We normally return refunds through the original payment method to the original payer. We do not charge our own refund-processing fee. If the original route is unavailable, we will agree a secure alternative after appropriate verification.
We aim to process an approved refund within ten business days, and will meet any shorter applicable legal deadline. Refunds under the online cooling-off right described above will be made within 30 days of cancellation. Your bank or payment provider may take additional time to show the credit; we will supply the available refund reference.
8. What happens when service ends
Hosting, hosted email and ongoing maintenance end on the confirmed service-end date. Arrange export or migration in advance to avoid interruption. Cancellation does not transfer a third-party software licence or guarantee ongoing access to Amicotech-managed premium licences after maintenance ends. We will explain relevant licence and handover arrangements.
We retain or delete records according to our Privacy Policy and applicable legal obligations. Cancellation does not automatically erase financial records, customer domains or unrelated services.
9. Policy changes
We may update this policy for future purchases. The terms accepted for your order and any mandatory consumer rights remain applicable; we will not silently apply a later policy to reduce rights on an existing order.
